Tenant Management Service

  • Ongoing monitoring of tenant behaviour issues, to prevent good tenants leaving
    e.g. being aware of any tenant behaviour that is disrupting (or is potentially disrupting) the lifestyle of the house or unnecessarily wasting the Agent’s time. This is done through the creation and administration of an online semi-automated Tenant Behaviour Reporting System that allows tenants to report or document concerning behaviours of other tenants, either anonymously or otherwise.
  • Regular visits to the property
    We visit the property on fortnightly,  monthly or bi-monthly basis in order to carry out the tasks listed below. Whilst at the property we keep an eye out for any non-compliance with the house rules.
    This enables problems to be caught early on and facilitates good relationships with the tenants.
    • Internal check of tidiness in the shared spaces
    • Informal liaising with any tenants present who might raise issues
    • Internal check for build-up of old post
    • Internal and external checking of recycling/rubbish bins
    • Checking for any obvious internal and external maintenance issues
  • Ad-hoc informal meetings with tenants
    Meetings at the property when requested by tenants or when we think that there are problems that need to be investigated.

Property Management Service

  • Creation and administration of an online semi-automated Property Repairs Reporting System
    that allows tenants to report or flag up critical repair problems and maintenance issues, diagnose the problem and suggest solutions, and monitor the job repair workflow. It also allows the landlord to monitor repair work and see a history of what improvements to the property have been carried out as well as those that have been put on hold. This is helpful for the landlord’s annual review of costs and overheads.
  • Ongoing and regular maintenance with the aim of keeping your property in excellent condition, so you always get the best new tenants
    We monitor the property and carry out repairs in order to keep the property in a good condition and so that any prospective tenants find the house pristine.
  • Delivery of an Annual Property Report, so you can see how your investment is doing.
    Your Annual Property Report includes a summary of your rental income and outgoings throughout the year; recommendations for preventative maintenance (where necessary) in order to shrink your repair bill; utility usage; your current tenants and any issues associated with them; and the results of Property Inspections.
  • Upkeep of a Property House Manual for the contractors’ and tenants’ use.
    We create and maintain an up-to-date property house manual to ensure that if a tenant reports something contractors will know exactly where the heating controllers, stop cock, appliance documentation etc. are located. Also contains emergency numbers for tenants’ use.

HMO Compliance Service

As you are likely to be an official HMO Responsible Person, we will follow all guidelines and regulations in this role as defined by your local Borough Council, which includes:
  • Arranging and administering of regular mandatory compliance tests with external professionals, e.g. gas safety test, electrical test, Energy Performance Certificate check, fire alarm test etc.
  • Arranging regular inspections (to be carried out by you or your contractor) of shared spaces and bedrooms e.g. for checking condition of the room, documenting appliances used, checking for mould and giving preventative measures.
  • Maintaining up-to-date property documentation, e.g. Right To Rent, fire safety manual, boiler breakdown document and other appliance manuals.
  • Maintaining up-to-date property house manual to ensure that if a tenant reports something contractors will know exactly where the heating controllers, stop cock, appliance documentation etc. are located. Also contains emergency numbers for tenants’ use.
  • Arranging of your last minute property checks prior to an HMO Licence inspection.
